Cancellation & No-Show Policy
In a Heart Beat Coaching & Connections recognizes that grief, disability, caregiving, and major life transitions can be unpredictable.
- Clients may cancel or reschedule individual sessions with at least 6 hours’ notice without penalty.
- Cancellations made with less than 6 hours’ notice or no-shows may be charged the full session fee, unless covered under the Hardship & Compassion Clause.
- Group coaching sessions and workshops are non-refundable, as space is limited and reserved in advance.
- If In a Heart Beat Coaching & Connections must cancel a session, clients will be offered a reschedule or full refund.
Confidentiality Policy
- All individual coaching sessions are treated as confidential.
- Information shared will not be disclosed without written consent, except where required by law (including risk of harm to self or others, abuse, or court order).
- In group sessions, confidentiality is strongly encouraged; however, confidentiality cannot be guaranteed due
to the nature of group participation. Clients agree to respect the privacy and lived experiences of others.
Coaching vs. Therapy Disclaimer
- Coaching services are non-clinical and are not psychotherapy, counseling, medical treatment, or crisis intervention.
- Coaching focuses on personal growth, coping skills, goal setting, meaning-making, and navigating life transitions.
- No mental health diagnoses, clinical assessments, or treatment plans are provided.
- Clients experiencing acute mental health distress or emergencies are encouraged to seek support from licensed professionals or emergency services.
Hardship & Compassion Clause
- Financial hardship, illness, disability-related challenges, caregiving needs, or grief events may arise unexpectedly.
- Clients may request one hardship exception per quarter, which may include a waived late cancellation fee or rescheduled session, at the discretion of In a Heart Beat Coaching & Connections.
- This clause exists to support dignity and access and is not intended for routine use.
Privacy Policy
- Personal information collected (including contact information, intake forms, and payment details) is used solely for service delivery, communication, and administrative purposes.
- Personal information is not sold, shared, or distributed to third parties.
- Records are stored securely and accessed only by authorized personnel.
- Clients may request access to or deletion of personal information, subject to legal and administrative requirements.
